Having various levels describe how they will utilize the system and what functions they need to perform their tasks will help in the decision-making process. Different roles need different things, but they all need to be able to connect in their way. Someone working in claims may need to view records the same way someone in coding or analytics may need to view that same record even if their uses are different. Focusing only on the needs of one and not many can be costly in both time and money. In my current role, I work alongside project managers, analysts, coders and application developers to achieve the same goal. We all have our piece, but all pieces need to function as one to complete the job even if use is not the same. Analysts creating tables of data can then have files loaded from application developers. I can create a spreadsheet from that file and create a project plan to distribute work to the record collectors. Once those records are collected, they can then be passed to coders. If only one of those pieces had a say in how those initial tables functioned or what information they pulled, we would not be able to pass on one piece to the next. And how we use things may not translate to upper management and their oversight on the budget to run these programs and projects. I am always an advocate for the people with boots on the ground that are doing the actual work should have the most say and everyone else can train and work around them. We cannot analyze anything if the first line isn’t able to get the data for us to analyze. They will know if something is incorrect or not functioning properly and causing inefficiencies. Having their input on front end processes will negate the need for as much of a back-end process. In looking for an article to support having a varied pool of staff to inform changes, I came across an article about a tool created for shared decision making in a Denmark hospital setting. They got feedback from both patients and staff about the best delivery system to communicate care options, outcomes and delivering general information. With feedback from varied sources, they were able to cover issues one party didn’t consider and make a more robust and usable system of doing things. The line “…it was significant for the informants to highlight that the tool can bolster the entire management team. They stressed that the different leaders should be seen as a unit that works together operating in accordance with uniform metrics and shared objectives” (Lund et al, 2024). That is the objective of implementing anything new. To have cohesion and have a shared goal or end result in mind.
